We only let fully insured registered builders that have had their references verified by us use Fitout Builders. Builders can register at https://fitoutbuilders.com/register
Registration with Fitout Builders only takes about 10 minutes. After that our team verifies your application and will inform you via email when your account is activated and ready to go.
Here is the information you need to have handy before you get started:
Your business name and ABN number
PDF file format only
And references from 3 recent projects
When you have all your required information ready at hand, go to https://fitoutbuilders.com/register Select that you are a business and would like to register now with Fitout Builders.
Answer a few initial questions about your company (name, ABN, address, company description) and click Register and Complete Account.
You will then receive an Account Verification email. Open this email and click Verify Your Account Now.
1. Acknowledge that you have agreed to the terms and conditions.
2. Fill in the Profile Details and Builder Business Settings sections to complete the registration process.
3. Once completed click Submit Settings.
4. Our team then verifies your information and will let you know via email when you are activated and ready to go.
Note you will not be able to use the full features of the system until your profile information is verified.

Don’t worry if you don’t have all the above information on hand. You can start the application process and save for completion at a later date.
You can change the way we communicate via email with you at anytime.
Go into your profile by clicking on your credentials in the top right of the screen.
Select Profile and then Profile Details. Scroll down the page until you see Notification Settings.
To update the default settings for items such as trading terms, exclusions and assumptions, go to Profile > Quote Settings and Defaults.
Here you will see the default settings for the following:
To add a new option to one of the above areas, click the + icon. Trading Terms +
To make an option your default choice (Trading terms, project duration and project start date), check that option.
To turn on/turn off items (Quote exclusions, Quote conditions and Quote assumptions), check/uncheck checkbox.
To delete/remove an option click on the delete x.
Once changes have been made click Submit Settings.
Note you can also update your default margins for labour and materials. Note anytime you Save Settings in your profile, it will be reviewed and approved by admin, during this time your account will be inactive.
You will get an email when you have been selected to quote a new fitout project.
Log into your account and you will see you have a new quote to do in FB Quotes
The following information is displayed about the project.
Before you make your decision about quoting the job you can take a look at all the project information.
Go to View/Edit Quote. This will take you to the preliminary quoting page giving you the scope of works to be quoted and other project information that is in the top right corner.
This includes the preliminary project drawings.
Don’t leave us hanging. If you do not want to proceed with the quote opportunity please go back to the project card and Decline quote.
This allows us to find another builder to replace you.
You can request further information from Fitout Builders about the project.
Clients may communicate with you after your quote has been submitted to help them make a final decision. You will get an email notification if you have a client question.
You will get an email notification when you have been selected to quote a new fitout project.
Log into your account and you will see you have a new quote to do in FB Quotes.
In FB Quotes you will see the new project card .
Select View/Edit Quote to review the project or to start quoting.
Select decline if you do not want to proceed with the quote. You can return to this project card at any stage to decline if needed.
You can also decline the quote within the quoting screen by selecting the blue FAB button in the bottom right corner and then selecting - decline quote.
What are the quoting timelines?
You have 24 hours to proceed or decline the quote.
If you accept, you have -
After accepting a project you will come to this quoting screen. It contains all the items required by the client.
Ensure you review all the project information (link in top right) This file contains relevant project drawings, photos and information that relates to the project.
Review and edit your quote
To maximise the accuracy of your quotation, you are encouraged to check the quantities specified by Fitout Builders against the measurements contained in the drawings provided. All pre-populated values in the invoice are to be used as a guide only and must be reviewed.
1. To add a new item to the quote, click the + Add Item button for the appropriate section/area. + Add Item
2. Search for the item you wish to add.
3. Click Add to quote button.
4. The item now appears in the quotation. Now you can update the pricing, description and margin.
If a supplier item doesn’t exist in the system, you have two options.
1.Find a similar item, add this to quote then update description and pricing.
2.Go to the Supplier Items tab and create a new supplier item then add to quote. Don’t forget
There may be occasions where you want to exclude or remove an item from the quotation. For instance, the client may say an item is no longer required.
You can delete the item altogether by clicking the Xnext to the item image.
Or you can exclude it. Excluded items will appear on the scope of works as excluded (with no pricing).
To exclude an item, toggle the relevant Excludebutton to turn on/off item.
The advantage of excluding an item as apposed to deleting is that it can easily be re-included if the client changes their mind.
Within the quote tab, click on the item title to change the item to editable mode. If the item consists of multiple components, these will be listed here including the quantities and prices. You can edit these fields and then click Submit to save your changes.
In the Quote tab of a project and below the main quotation are the Quote Conditions. To edit the quote conditions, select from the drop down lists the Trading Terms, Start Date and project Duration. If your preferred option does not appear in the list, you can add an option by clicking the edit button.
To update the default settings for items such as trading terms, exclusions and assumptions, go to your Profile > Quote Settings and Defaults.

Final discounts and comments
You have an option to apply a discount to your quote. The client will see this itemised at the end of their quote and we find it gives you an advantage.
The discount is reflected as a %.
You can also write a personal note to the client that they will see at the end of your quote.
The client is presented with all 3 quotes at the same time in the same format.
They can view your directory information and the information / documents about your business that you have in your profile.
The clients click the down arrows to expand out any of the quote information

From time to time Fitout Builders may need to extend timelines.
If this occurs, you will be notified via email.
To update your profile information click your credentials in the top right of the screen and then select Profile
Navigate between the Profile Details and Builder Business Settings tabs.
Once you have made your changes you must click submit to save your new settings.
Any changes made will be verified by Fitout Buliders before they appear on the Fitout Builders website.
You will get an email notification when the changes are approved and live.
Registered Builders on Fitout Builders are automatically listed in the Fitout Builders directory. The information that appears here comes directly from your profile information.
To edit the information appearing in the directory you need to login and update your profile.
Click on your credentials in the top right of the screen and then select profile.
Here you can update your business information and edit the
short description
of your company. This is the information shown to clients in the directory.Once you have made your changes select Submit.
Any changes made will be verified by Fitout Builders before they appear on the Fitout Builders website.
From your dashboard you can add widgets that enables you to access quick and useful information and statistics at a glance. E.g. quotes won per month and total outstanding quotes.
To set up widgets on your dashboard, click on the blue FOB button in the bottom right bottom right of your screen and then click Manage Dashboard Widgets.
Select from the drop down menu the widgets you would like to add.
Select All to view all the available widgets. To turn widgets off, click Manage Dashboard Widgets where you can remove widgets by clicking on the x next to widget name.
You will pay the referral fee only when you have been selected as the preferred builder by the client.
Fitout Builders will send you a notification email that you are the preferred builder and this email will contain a link to process payment.
Note we do not hold credit card information on file.
To download copies of invoices go to ‘Settings’ tab and then Billing / Invoices
Here you will see your payment history.
You can search, print and download invoices.
You will pay the referral fee only when you have been selected as the preferred builder by the client.

Fitout Builders charge 1.75% of your winning quotation amount capped at $5250.
Please note the fees above exclude GST.
The Notification Centre shows all of your account activity.
This includes emails sent to you, successful quotations and payments made.
The number next to your notifications tells you how many unread messages you have.
To mark notifications as read, you can tick them individually or select Mark all As Read.
1. Go to Settings > Invitations.
2. Enter the email address of the person you wish to give access to.
3. Select a role for the user from the drop down list.
4. Click Send Invitation button.
An invitation is now sent to that person’s email address asking them to accept the invitation and create an account.
Note: only users with Administration level access can invite new users.
1. Go to Settings > User Management.
2. Search for the user you wish to update.
3. Click on the user profile card.
4. Once changes are make click Edit Account.
Note: only users with Administration level access can see User Management.

For general questions and non critical issues
Project Names
These have the first letters of your business name, the first letter of the state you are in, followed by a number.
For example NCN-3 means Nice Commercial, NSW, 3
Quote Numbers
These are the same as project names but have a Q added as the 4th letter meaning it is a quote.

You can easily clone, archive or delete a project.
Go to the project card, select more options and you will see these 3 functions.
Use the search projects filters along the top of the project card screen to retrieve an achived project. Once retrieved you will have an option to restore from archive.
Some items you need to quote are undefined in value until the job starts and you can not set a fixed price,.
However you need to make an allowance for it within the quote. We call this a provisional item.
Use the following arrows on the left hand side of the line item within the quote to mark / unmark an item as a provisional item.
An example of using a provisional item may include providing an estimated labour allowance.
